City Runs – Terms & Conditions of Entry
These Terms & Conditions apply to all events organised by City Runs (“we”, “us”, “our”).
By entering an event, you confirm that you have read, understood and agree to be bound by them.
1. Organiser
City Runs is the promoter and organiser of the event.
2. Scope of These Terms
These Terms & Conditions apply to all participants.
Where a participant is under the age of 18, the City Runs Junior & Under-18 Participant Addendum forms part of these Terms & Conditions and must be accepted by a parent or legal guardian on the participant’s behalf.
The Junior & Under-18 Participant Addendum is available on our website.
3. Governing Body Rules
City Runs events are organised under licence from UK Athletics and are conducted in accordance with UK Athletics Rules for Competition and relevant guidance from England Athletics and Run Britain, unless otherwise stated.
4. Assumption of Risk & Medical Fitness
Participation in running events involves inherent risks.
By entering an event, you confirm that:
You enter the event entirely at your own risk;
You are medically fit, adequately trained, and capable of taking part;
You accept responsibility for monitoring your own condition during the event and will withdraw if continuing would pose a risk to yourself or others;
Any relevant medical conditions have been disclosed to the organisers in advance of the event, including on the medical information section on the back of your race number.
Participants are strongly advised to consult a medical professional before undertaking any training programme or competitive running event.
5. Liability
Nothing in these Terms & Conditions excludes or limits our liability for:
Death or personal injury caused by our negligence;
Fraud or fraudulent misrepresentation; or
Any other liability that cannot be excluded or limited by law.
Subject to the above, City Runs shall not be liable for any loss or damage arising out of or in connection with participation in the event, including (without limitation):
Loss or damage to personal property;
Loss of profit, business, revenue or goodwill;
Loss of anticipated savings;
Charity pledges or sponsorship; or
Any indirect or consequential loss.
Participants are responsible for their belongings at all times. We accept no responsibility for items lost, stolen or damaged before, during or after the event, including in bag drop areas.
6. Event Rules & Participation
All participants must:
Meet the minimum age requirement for the event and distance entered;
Follow all event rules, safety guidance and instructions issued by event staff, officials, marshals and volunteers;
Display their official race number as instructed and ensure medical details are completed on the reverse.
The following are not permitted, unless expressly stated otherwise for a specific event:
Roller skates, roller blades, skateboards or any mechanically propelled device;
Being escorted or paced by another person or cyclist;
Pushing or carrying another person along the route;
Running with dogs or accompanying cycles;
Participation with animals, except registered guide dogs (which must be arranged with the organiser in advance).
Race numbers are strictly non-transferable. The swapping, sale or unofficial transfer of race numbers is prohibited for safety, medical and insurance reasons.
7. Headphones
On courses shared with other users, the use of headphones is prohibited, except for bone-conducting headphones, in line with UK Athletics Rules for Competition.
8. Course Responsibility
We will endeavour to ensure courses are accurately measured, clearly marked and adequately marshalled.
Participants are responsible for:
Following the marked course;
Observing marshal and official instructions;
Being aware of their surroundings and showing courtesy to other participants, volunteers, members of the public and other route users.
9. Results, Categories & Prizes
We will take all reasonable steps to provide accurate results.
Finish clocks are indicative only; official results are produced in accordance with UK Athletics rules.
Prize categories, eligibility and structures may vary by event.
Prize eligibility is subject to accurate personal details being provided at the time of entry.
Where a participant chooses not to disclose age or gender, they may appear in results but will not be eligible for prizes.
Participant categorisation for results and prizes follows UK Athletics policy in force at the time of the event. Full details are available on our website.
10. Entry Transfers
Where offered, official pre-race entry transfers may be permitted and will be outlined on the individual event webpage.
Unofficial transfers or number swaps are strictly prohibited and may result in disqualification or exclusion.
11. Event Changes, Safety & Cancellation
City Runs reserves the right to:
Amend event details, schedules, routes, distances, prizes or prize structures;
Shorten, amend or stop the event where necessary for safety or operational reasons;
Refuse entry to, or remove, any participant whose behaviour is unsafe, disruptive or in breach of these Terms & Conditions.
In circumstances beyond our reasonable control — including but not limited to extreme weather, public safety concerns, instructions from local authorities, or other force majeure events — we reserve the right to cancel, delay, reschedule or abandon the event.

12. Participant Conduct – Respect the Race
Participants are expected to behave responsibly, respectfully and in a sportsmanlike manner at all times.
This includes:
Treating event staff, officials, volunteers, fellow participants and members of the public with respect;
Following all instructions promptly;
Acting in a way that does not compromise the safety, enjoyment or integrity of the event.

Any participant whose behaviour is abusive, aggressive, discriminatory, unsafe or otherwise contrary to the spirit of the event may be:
Disqualified;
Removed from the event; and/or
Excluded from future City Runs events.
13. Appeals & Complaints
Any appeals or complaints must be submitted in writing via our website contact form.
We will endeavour to respond within a reasonable timeframe. Complex matters may require consultation with governing bodies.
14. Photography, Filming & Media
By entering an event, you grant City Runs permission to use your name, image, likeness, voice and any photographs or recordings taken during the event for promotional, commercial and editorial purposes, including websites and social media, without payment or time restriction.
15. Data Protection & Privacy
We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Personal data (including relevant medical information) may be collected, stored and used for:
Event organisation, administration and safety;
Results processing and publication;
Insurance, permits and regulatory compliance;
Statistical analysis.
Marketing communications will only be sent where consent has been provided, and you may opt out at any time.

16. Junior Participants (Under 18)
Where a participant is under the age of 18:
Entry must be completed by a parent or legal guardian;
The City Runs Junior & Under-18 Participant Addendum applies and forms part of these Terms & Conditions;
Proof of parental or guardian consent may be required.
17. Exclusion from Events
City Runs reserves the right to refuse entry to, or exclude from, any event (or future events) any participant who breaches these Terms & Conditions or behaves in a manner that is unsafe, disruptive or detrimental to others.
18. Governing Law
These Terms & Conditions are governed by and interpreted in accordance with the laws of England and Wales, and the courts of England and Wales shall have exclusive jurisdiction.
